David A. Brinckerhoff - Club Administration
As the club membership has grown from 35 to over 60 members in the
past 15 months, the procedures and administration of the club needed
to grow and evolve along with it. Many of the traditional ways that
things were done for years needed be improved, and put into writing
for the benefit of our newer members as they ascend into leadership
roles in the club. This has been the major initiative of the Club
Administration Committee over this past year. Below is a brief list of
the administrative changes and new programs that have been developed
and instituted this year:
• Created a formal written ballot for the election of new officers, and complied with the election
process outlined in the club bylaws.
• Created and implemented the Sustaining Member Points Matching Program, where the club will
now match 1 point toward a Paul Harris Fellow for every $1 contributed to the Rotary
Foundation.
• Formalized the process for handling new members from their first visit through induction.
• Revised, updated, and amended the club bylaws and club constitution to bring them up to date.
• Began uploading all important club documents on to the District DACdb website so all club
members can access them.
• Created and implemented new procedures for collecting member payments and the handling of
past due balances.
• Created a flowchart for all club positions and committees so that everyone knows their role.
• Updated and improved the club logo and letterhead.
• Restarted and dramatically improved the club bulletin, and began to update and improve the club
website.
As the club continues to grow and evolve, the club administration committee will continue to look for
ways to make it operate more efficiently. Any suggestions or assistance are greatly appreciated.
